Operational Guidelines for Polytechnics Students' Chapter

 

  1. To enable formation of a Chapter in any Polytechnic, the minimum number of members required is twenty. There shall be only one Chapter in a Polytechnic.
  2. If the above clause is satisfied, the management of the Polytechnic shall appoint one of the. faculty members to act as the Adviser of the Chapter.
  3. The Chapter thus formed shall have to be designated, as per Rule 3.1.4.2 in the following manner :

  1. To allot Code number to the Chapter and membership serial number in the following manner :

    Membership No. SP XXXX XXXX
    First 4 digits : Polytechnic Code (to be provided by the Headquarters)
    Last 4 digits : Membership Serial Number
    example : SP 6211 0001
  2. To take the following actions on Application Form and Membership Card:
    1. Application Form to be filled in and signed by the students and deposited with the Adviser along with Rs. 50/- as the annual subscription.
    2. Adviser shall issue Membership Card duly filled-in in respect of: Name, Roll Number, Year of payment of subscription, etc as indicated in the card.
    3. Adviser shall send the duly filled-in application form along with Rs. 10/- per application as proportionate subscription by Bank Draft in favour of "THE INSTITUTION OF ENGINEERS (INDIA)" payable at Kolkata to cover administrative expenses at Headquarters. The balance Rs. 40/- per student to be retained for the Chapter activities in the following manner :

Technical activities

(to be conducted as per Rule 3.2.4)

Administrative Expenses of the Chapter

d.        Applications forms as in (a) along with draft as per (c) are to be sent to Headquarters along with list of members as under :

e.    In the following years for the new members above procedures shall be followed.. For renewal of old membership, subscription @ Rs. 50/- for the current year shall have to be collected and entered in the card as subscription receipt. A list of such renewals along with draft for the proportionate subscription @ Rs. 10/- per student shall be sent to Headquarters office.

f.     All subscription, both new and renewal, fall due on 1st April of a year and must be paid within the last day of September of the year failing which the name of the member shall be struck off the roll. If found inconvenient, academic session may be followed.

6.      To take action to form the Students' Chapter Committee as per Rule 4.1  of the 'Rules for Students' Chapter'

7.     To send quarterly reports of technical activities of the Chapter four times a year in the following manner :

a.

From April to June

To reach Headquarters Office latest by July 15

b.

From July to September

To reach Headquarters Office latest by October 15

c.

From October to December

To reach Headquarters Office latest by January 15

d.

From January to March

To reach Headquarters Office latest by April 15

(For publication in the July issue of the Newsletter)

Note : Details of the activities as far as possible with photographs.

9.    To distribute the Newsletter amongst the Chapter members which will be sent in bulk to the Advisers.

10.  Any change in the name of Adviser, who is the corresponding link between the Chapter and Headquarters of the Institution shall be informed forthwith to avoid discontinuation.
